School Management System in Wakefield, Massachusetts

When Wakefield Public Schools opened its new middle school on Main Street in 2023, they needed a parent portal that could handle 1,200 users without crashing during report card season. Most systems from vendors like PowerSchool or Infinite Campus were designed for large districts and priced accordingly. So we built a Laravel backend that pulls data straight from the district’s SIS and surfaces it in a React frontend optimized for Wakefield’s aging iPad fleet. The result? Parents see real-time grades and attendance without the lag that plagues other systems during peak hours.

Wakefield has a tight-knit network of parochial schools clustered around Pemberton Park and Wakefield Memorial High School. Many of these schools run on shoestring budgets and can’t afford enterprise systems with per-student licensing. We solved that by building a modular system where Wakefield schools only pay for the modules they actually use, parent portal, gradebook, and lunch balance tracking are separate, so St. Joseph’s or the Wakeland School can start with just the gradebook and add the rest later. The same codebase runs on shared hosting with Firebase for real-time sync, cutting their annual cost from $15,000 for a hosted system to under $3,000 for a self-hosted version.

Here’s where most systems fail: they assume every school operates on a 180-day calendar with a single start date. Wakefield has four distinct calendars, public schools, parochial schools, private preschools, and the vocational tech center on Route 128, and each one runs on a different rhythm. Our system uses a calendar engine that toggles between them automatically, so when Wakefield Public Schools is on summer break in July, the vocational tech center can still run its summer welding program without the system breaking. Teachers get their schedules pushed to their iPhones the night before, and substitutes see the same view in the staff app, eliminating the paper shuffle that used to eat 30 minutes of every planning period.

The real bottleneck in Wakefield schools isn’t the software, it’s the reporting. Massachusetts DESE requires 17 different data exports each semester, and most systems force administrators to manually reformat spreadsheets for each one. We built a REST API that spits out DESE-compliant files with one click. When the Wakefield Business Manager ran our first export, she texted the superintendent: ‘We just saved 12 hours this week.’
