Most off-the-shelf school systems assume your school runs like every other school. We built a custom system for a Hampshire County school that handles concurrent enrollment across three colleges, tracks CE credits for adult learners, and still generates the weekly PDF report parents expect by Monday morning. The difference came down to one feature the client insisted on: a drag-and-drop attendance sheet that syncs with the registrar’s Google Calendar in real time. That one tweak saved the office manager two hours every week during flu season alone.

The same school needed to integrate with their existing financial system, which used a 15-year-old Sybase back end no modern SaaS could touch. Instead of ripping out the old system, we wrote a lightweight REST wrapper around it that lets teachers post grades from any device while the accounting module keeps running exactly as it did in 2009. That kind of backward compatibility is rare in packaged software but straightforward when you control the codebase.

We see this pattern repeat across Western Massachusetts prep schools: they buy a $12 per-student system that works fine for a 200-student campus, then hit a wall when they open a second location in Hadley or add an adult education track. At that point, the annual license fee starts to feel like a ransom. A custom build flips the equation, after the first year, the school owns the software outright and pays only for hosting and occasional updates.

Goshen’s proximity to the Five Colleges consortium means many schools here deal with concurrent enrollment agreements that let high schoolers take courses at UMass, Smith, or Mount Holyoke. Those agreements generate dozens of PDF forms, permission slips, and transcript requests that no generic system handles cleanly. We built a module that auto-generates the forms based on a single student record, reducing paperwork from 10 minutes per request to under 30 seconds.
