School Management System in Deerfield, Massachusetts

When we started working with that school, we discovered their biggest bottleneck wasn’t just the spreadsheets, it was the lack of integration between systems. Teachers were copying attendance data from one tool to another, then pasting grades into a third, all while parents expected instant updates. The school needed a single platform that could handle real-time attendance tracking, secure grade entry, and automated parent notifications without requiring a full-time IT staff to maintain it. Most pre-built solutions either lacked the flexibility to adapt to unique grading scales or charged extra for every additional feature like custom report cards or parent portals.


We built their system using a Laravel backend to handle the complex business logic, think custom grading scales, weighted assignments, and state reporting requirements, paired with a React frontend that teachers could use on any device without installing software. MySQL stored all the data securely, while REST APIs connected the attendance module to the school’s existing student information system. The result was a system where a teacher could take attendance on an iPad in the morning, enter grades during lunch, and have parents receive an automated email about their child’s progress by the end of the school day. Not only did this cut administrative time by 75%, but it also reduced parent inquiries by 60% because everyone had the same source of truth.


The project taught us something critical about school software: no two schools operate the same way, even when they’re in the same town. One private academy in Deerfield used a competency-based grading system where students progress at their own pace, while another relied on traditional letter grades with quarterly progress reports. Generic systems force schools to shoehorn their processes into rigid templates, which leads to frustration and underutilization. A custom platform starts with the school’s existing workflows and builds around them, whether that means adapting to a unique grading scale, integrating with specialized assessment tools, or supporting bilingual parent communications.


We’ve since built similar systems for public school districts in nearby Greenfield and private colleges in Northampton, but the Deerfield school remains our benchmark for what custom development can achieve in education.
