The school’s tech committee assumed they’d have to buy an off-the-shelf product, but every system they tested lacked the granular reporting Massachusetts requires for grant funding. We built the immunization tracker first because it was the fastest path to compliance. The state requires schools to submit immunization records within 30 days of enrollment, and the old system left gaps when students transferred in mid-year. Our system flags expired records and emails the nurse automatically, parents see the alert in their portal before the student even misses a day.

We kept the cost down by reusing Massachusetts-specific report templates instead of rebuilding them from scratch. Most vendors charge extra for MA-specific reports; we baked them into the core system so the school didn’t pay recurring fees. By week 12, the school had live attendance, a parent messaging center, and a dashboard that pulls state reports with one click.

The hardest part wasn’t the technology, it was convincing the faculty to stop using paper. We trained the front office on the new system during their lunch breaks and set up a kiosk in the hallway for parents who didn’t have devices at home. Within a month, the three-ring binders were empty, and the state auditor signed off without a single follow-up question.
