School Management System in Nelson, California

Most off-the-shelf systems force schools into rigid workflows designed for large districts. A K-8 school in Nelson needed to track Spanish immersion class attendance separately from English classes, manage shared playground schedules between two buildings, and report to the state on a rolling 30-day window instead of the typical semester reporting cycle. We built a Laravel backend that pulls from MySQL to handle the custom reporting, then fronted it with React so teachers could update attendance on tablets during recess. The result? A system that bends to Nelson’s needs instead of the other way around.

One charter school in town had tried three different SaaS products before realizing their biggest pain point wasn’t the software, it was the data migration. Each platform promised to import historical records, but none handled the district’s custom grading scale or the way they weighted participation differently in dual-language classes. We wrote a REST API that pulled their old data into staging tables, mapped the grading scale to the new system, and built a validation layer that flagged records with missing fields before they went live. The school went from 4 weeks of downtime to a single weekend cutover with zero data loss.

A common mistake is treating school software as a simple database with a login screen. In reality, it’s a workflow engine that has to handle parent-teacher conferences, custodial staff scheduling, meal program accounting, and state reporting, all while keeping student information locked down. Our system uses Firebase for real-time notifications so when a teacher submits a tardy slip, the parent gets an alert within seconds and the attendance record updates automatically. The custodial staff uses Flutter on school-issued tablets to scan rooms at the end of the day, and the data flows straight into the same backend that handles lunch balances and bus routes.

Nelson schools also deal with seasonal staffing challenges, substitute teachers, seasonal coaches, and part-time instructors who need temporary access without creating permanent accounts. Instead of spinning up new logins every time a new coach arrives, we built a time-bound access system that automatically expires after the season ends. The superintendent can grant access for 90 days, the coach uses the system during the season, and everything revokes itself without leaving orphaned accounts behind.
