The owner of The Alden Diner spent three hours every Saturday merging handwritten order tickets with QuickBooks exports to reconcile weekend sales.

Every Monday night, the night manager sent a spreadsheet of inventory adjustments to the bookkeeper, who then updated counts in a second spreadsheet that no one else could access.
Alden's restaurant scene is dominated by legacy mom-and-pop diners, family-run Italian joints, and a handful of newer craft breweries with food menus that rotate seasonally. These businesses all share one pain point: managing orders, inventory, staff schedules, and sales in five different tools that don't talk to each other. When we sat down with the owner of Main Street Pizza, he showed us three different systems running simultaneously, a tablet for orders, a clipboard for deliveries, and a cash register that only printed totals at the end of each shift.

Most off-the-shelf restaurant systems assume you're running a chain with a central kitchen and uniform menu items. The Alden Diner's breakfast menu changes daily based on which local farm delivered produce that morning. Their management system needed to handle ingredient substitutions without creating a new item code every time the asparagus supplier changed their harvest schedule.

We built a Laravel backend to handle the business logic, real-time inventory updates, staff scheduling with local labor laws, and integration with their existing Stripe terminal. The React frontend runs on tablets at each table and in the kitchen, updating instantly when a dish is ordered or an ingredient runs low. We connected everything through a REST API so the owner could pull sales reports into QuickBooks without manual exports.

The breweries in Alden have a different problem: they need to track keg rotations and tap line cleaning schedules. We added Firebase push notifications to alert managers when a keg is nearing empty or a tap line needs cleaning, preventing the weekends when half the taps are down because no one scheduled maintenance.

What You Get With Restaurant Management System

Serving businesses in Alden, New York

Unified order flow from kitchen to cashier

Every order enters once and updates inventory, staff schedules, and sales reports in real time. No more double-entry between tablets, clipboards, and spreadsheets that only one person can access.

Local ingredient tracking without new item codes

Handles daily ingredient substitutions and seasonal menu changes without creating a new SKU every time the asparagus supplier changes. Tracks costs per dish based on actual ingredient prices, not static recipes.

Keg rotation alerts for breweries

Sends Firebase push notifications when a keg is nearing empty or a tap line needs cleaning. Prevents the weekends when half the taps are down because maintenance was forgotten.

Stripe integration for modern payments

Connects directly to your existing Stripe terminal so you don't need to switch payment processors. Sales data flows automatically to your accounting system without manual exports.

How We Deliver Restaurant Management System

A clear process, no surprises.

1

Understanding how you actually operate

We spend a week mapping your existing workflows, not asking you to describe them in a requirements doc. If you track inventory on clipboards, we digitize the clipboard first. We interview your chef about supplier substitutions, your manager about staff scheduling, and your cashier about payment pain points.

2

Building your first working build

Within three weeks, you get a working system that handles orders, inventory, and staff scheduling. It won't have every feature you asked for, but it will handle tonight's dinner service without crashing. We prioritize the workflows that lose you the most money when they break.

3

Testing it under real dinner service

Before we add the next set of features, we run the system through a weekend of actual dinner service. We fix the bugs that only appear when 150 orders hit the system at once. Your staff uses it; we watch where they get confused and adjust the interface.

4

Shipping the system to production

We launch with your full menu, suppliers, staff schedules, and payment processor connected. You get a training session tailored to your actual workflow, not a generic user manual. We stay on standby during your first week to handle any edge cases that only show up when real customers are ordering.

5

Growing the system with your business

After launch, we add features based on what you're actually using. If keg rotation alerts become your top priority, we build that next. If you add a food truck, we extend the system to handle mobile orders. We charge a flat monthly fee for maintenance and updates, not hourly rates for every small change.

Frequently Asked Questions

Common questions about Restaurant Management System in Alden, New York.

The system scales from a single-table diner to a 50-location chain. We build the same core system for everyone, but turn features on or off based on your needs. The Alden Diner runs on the same codebase as a brewery with four taps, just with different modules enabled. You only pay for the features you use, not a bloated system designed for chains.

We deliver your first working build in three weeks. This version handles orders, inventory, and staff scheduling, enough to run tonight's dinner service without crashing. After that, we add features based on what you're actually using. Most restaurants launch with 80% of their needs covered and fill in the last 20% over the next few months.

The system is built to handle daily ingredient substitutions and seasonal menu changes. Instead of creating a new item code every time the asparagus supplier changes, we track the substitution and update costs automatically. Suppliers can be added, removed, or swapped without rewriting the entire system.

It replaces your existing POS if you're using something generic like Square or Clover. We integrate directly with your Stripe terminal, so you keep your payment processor. If you're using a legacy cash register, we add a tablet interface that connects to the same system. Either way, you get one unified system instead of five different tools that don't talk to each other.

We include three months of free support after launch, during which we handle any bugs or edge cases that only show up under real dinner service. After that, we offer a flat monthly maintenance plan that covers updates, security patches, and feature additions. You get a dedicated Slack channel and weekly office hours with your project manager during US business hours.

Our team works while you sleep. You send requirements at the end of your day and wake up to progress. We use shared project boards, daily standups in your morning, and Loom videos for async updates so nothing gets lost in the 12-hour time difference. Your project manager overlaps with US Eastern and Pacific business hours, and we record every demo so you can review progress on your own schedule.
