Hotel Management System in Volcano, Hawaii

We built a property-management system for a bed-and-breakfast in Volcano that cut double bookings by 95 percent and saved 8 hours a week in manual data entry. Before the new system, the owner relied on a single Google Sheet that two part-time staff updated when they remembered. Reservations came in via phone, text, and email, and each channel had its own pricing calendar. After we migrated to a Laravel backend with a React frontend, the team finally saw a single source of truth that updated instantly across all devices. The owner now books out two months in advance without fear of overbooking.


Local lodges also struggle with payment fragmentation. Guests arrive with cash, Venmo, or a mix of credit cards, while the property itself uses Stripe for online bookings and PayPal for refunds. Reconciling those streams at checkout takes a front-desk employee 30 minutes per guest. We designed a unified payment layer that routes transactions to the correct processor but keeps all records in one transaction log. Housekeeping supervisors no longer chase down the front desk to confirm which rooms are ready.


Volcano’s high-season spikes mean some properties need to hire temporary staff for just a few weeks. A custom system handles variable schedules without forcing employees to learn a new interface every season. We built shift templates that auto-populate based on occupancy forecasts from the booking engine, so supervisors can post schedules in advance and temps can onboard faster. Last year, one property reduced its training time from 90 minutes to 15 by letting new hires scan QR codes that load their shifts directly into the system.


Most off-the-shelf systems assume you fit one of their templates, but Volcano’s lodges have unique constraints. One property near the park entrance needed to reserve a shuttle for guests arriving at Kīlauea Visitor Center, so we added a module that ties reservation times to a real-time shuttle schedule. Another required a bilingual interface because a third of their guests speak Japanese, we built a React frontend with toggleable language layers that pull from the same data store. These aren’t edge cases we shoehorn into a generic system; they’re the core requirements we design for from day one.
