Hotel Management System in Paauilo, Hawaii

A Paauilo innkeeper came to us with a simple request: stop losing money to double bookings and late-night refunds. We built them a single-page dashboard that pulls real-time availability from Airbnb, VRBO, and their own website, then blocks the same room across every channel. Within two weeks, their front-desk staff stopped using spreadsheets entirely and started trusting the system to give accurate answers at check-in.


Most off-the-shelf hotel systems assume a property has 50+ rooms and a dedicated IT team. Paauilo’s 10- to 30-room properties need something lighter. We chose Laravel for the backend because it handles MySQL’s strict relational data model without the bloat of a Ruby on Rails stack. The frontend is React, which gives the front desk a screen that updates in real time when a guest checks in or out. No refresh buttons. No waiting for a backend cron job to finish.


Payment processing is where most hotel systems get clunky. Guests want to pay with Stripe or PayPal at check-in, but the property wants to delay the charge until they actually occupy the room. We built a REST API that sits between the booking engine and the payment gateways. It holds the payment token, waits for the guest to arrive, and only captures the funds after the room is confirmed occupied. That small change cut disputes by 40% for one Paauilo guesthouse.


A mobile app wasn’t on the original scope, but the innkeeper changed direction mid-sprint. We spun up Flutter in two days and delivered a companion app for housekeeping staff. The app shows which rooms need turndown service, which minibar items were consumed, and whether the guest left the AC on. Housekeepers swipe to mark tasks complete, and the app pings the front desk when a room is ready. The innkeeper now has real-time visibility into operations without needing to call or text staff.
