A family-run boutique hotel on Mount Wilson’s Angeles Crest Highway was losing reservations because their old system couldn’t handle last-minute bookings from hikers heading up for the weekend. Between the front desk juggling walk-ins, housekeeping tracking rooms by sticky note, and owners stuck on the phone with guests asking about trail conditions, the team realized their tech was the bottleneck, not their location.

Mount Wilson’s tourism revolves around the observatory, hiking trails, and seasonal lodging, which means hotels need systems that flex with weekend spikes, sudden weather changes, and multi-day bookings from international visitors.
The boutique hotel tried a few off-the-shelf systems first, but every one failed at the same point: real-time housekeeping sync. When a guest checked out at 11 a.m., the next room wouldn’t be marked available until housekeeping walked the floor and reported back, by then, the trailhead parking lot was already filling up with new hikers. We rebuilt their workflow around a Flutter mobile app for housekeepers that updates room status the moment a door is unlocked, cutting the lag from hours to seconds.

Most hotel software vendors sell you a mold you have to fit into; we build around what you already do well. That hotel in Mount Wilson didn’t need a new process, just software that could keep up with their existing one. We used Laravel for the backend so the owner could plug in their own accounting rules without rewriting the whole system, and React for the front desk dashboard so staff could see at a glance which rooms were clean, dirty, or under maintenance.

Integrating payments was another sticking point: they wanted to accept Stripe for online bookings and PayPal for in-person payments without juggling two dashboards. We built a REST API layer that routes transactions to the right provider based on the booking source, so the front desk never sees a split screen again. The result was a single pane of glass that handles reservations, payments, and housekeeping from the same interface.

The biggest misconception we see with hotel software is that it has to be a monolithic system that does everything for everyone. In reality, Mount Wilson’s hotels benefit from modular tools that can grow with the season, like adding a seasonal pricing module for winter trail closures or a group discount calculator for astronomy clubs booking the observatory’s nearby lodges.

What You Get With Hotel Management System

Serving businesses in Mount Wilson, California

Real-time housekeeping sync without extra hardware

We turn any smartphone into a housekeeping terminal using Flutter. When a room is cleaned, the status updates instantly in the reservation system, no walkie-talkies, no sticky notes, and no 12-hour lag between check-out and availability.

Flexible payment routing for mixed booking sources

Online bookings go through Stripe, walk-ins go through PayPal, and group reservations get their own discount code. The system routes payments automatically and ties them to the correct reservation without manual entry.

Custom pricing rules for seasonal flux

Mount Wilson’s hotels see bookings triple in fall for leaf-peeping and drop 80% in winter. We build seasonal pricing modules that adjust rates based on weather forecasts and trailhead demand, not just calendar dates.

Single dashboard for reservations, payments, and operations

Front desk staff toggle between reservations, payment status, and housekeeping maps without logging into three different systems. The React frontend pulls from the Laravel backend and updates in real time.

How We Deliver Hotel Management System

A clear process, no surprises.

1

Scoping the gaps, not the features

We spend the first two weeks shadowing your staff during a typical booking cycle. If your housekeeping team uses paper checklists, we digitize those first. If your front desk relies on a whiteboard for group reservations, we build a digital version that looks familiar. The goal is to capture how you work, not how software thinks you should work.

2

Building the modules that matter to you

After the discovery phase, we prioritize the modules that will have the biggest impact on your daily operations. For a Mount Wilson hotel, that’s usually real-time housekeeping sync and seasonal pricing. We build these first as working prototypes, so you can test them in your actual environment before we commit to the full system.

3

Testing in your real conditions

We don’t stop at unit tests. We simulate weekends with 100% occupancy, sudden weather-related cancellations, and international bookings that require currency conversions. If your hotel sees a 15% spike in cancellations when the fog rolls in, we test how the system handles refunds and re-bookings under that load.

4

Going live with a safety net

We launch the new system on a single property or during a low-occupancy period so you can catch edge cases without disrupting paying guests. The Flutter housekeeping app goes live first, followed by the reservation system, and finally the payment integrations. Each phase rolls out only when the previous one is stable.

5

Iterating based on your feedback

The first 90 days after launch are critical. We schedule weekly check-ins to identify friction points and add small improvements, like a one-click button for the observatory’s group discounts or a mobile-friendly version of the housekeeping checklist. After that, we move to bi-weekly updates tied to your seasonal planning.

Frequently Asked Questions

Common questions about Hotel Management System in Mount Wilson, California.

For a boutique hotel with up to 20 rooms, the full build takes 12 to 16 weeks from discovery to launch. That includes the Flutter housekeeping app, the reservation dashboard, and the Stripe/PayPal integrations. The timeline stretches to 20 weeks if we’re integrating with an existing accounting system or adding custom modules like seasonal pricing. We don’t pad timelines with unnecessary phases, just the work that delivers measurable value.

We work in two-week sprints with a working build delivered at the end of each sprint. If you realize halfway through that group discounts need to be handled differently, we can pivot the next sprint’s focus without throwing out previous work. The key is our modular architecture: each component (reservations, payments, housekeeping) is built as a standalone module, so changes don’t cascade into a full rebuild.

We build true native Flutter apps for iOS and Android, not progressive web apps that rely on browsers. The benefits are speed and offline capability, housekeeping staff can update room status even in areas with spotty cellular coverage on Mount Wilson’s mountain roads. The apps connect to the same Laravel backend as the reservation system, so data is always in sync.

We build a routing layer into the REST API that directs payments to the appropriate processor based on the guest’s location and preferred method. European guests paying with iDEAL go through a different gateway than US guests using PayPal, but the reservation system sees a unified payment record. The owner still gets a single dashboard for all transactions.

We include 90 days of priority support with every build, which covers bug fixes and minor adjustments like adding a new discount code. After that, we offer maintenance plans starting at $299/month for updates, security patches, and seasonal adjustments. The codebase is yours, so you’re never locked into a vendor for fixes or feature additions.

Your dedicated project manager overlaps with US Eastern and Pacific business hours via Slack and Zoom. We record daily standup updates as Loom videos so you can watch them on your schedule. For urgent issues, we offer a 24-hour response window during US business days. The time difference works in your favor: we deliver progress while you sleep and wake up to new features.
