A hotel management system isn’t just a calendar, it’s the nervous system of a property that never sleeps. The one Altadena inn we worked with had a front desk that used three different apps to check guests in, another to process payments, and a whiteboard for room assignments. By the time we finished, their entire operation ran on a single Laravel backend that pushed real-time updates to a React frontend the staff could use on phones or tablets.

We built their system around a REST API so their booking engine could talk to PayPal and Stripe without manual reconciliations every Sunday night. The key was handling split payments, one guest paying half up front for a shared guesthouse, the other covering the rest on arrival, something generic tools like Lodgify or Hostfully can’t do cleanly. We used MySQL to store room types, rates, and availability, then layered React on top so the front desk could see a live heatmap of occupied rooms in one glance.

Most off-the-shelf systems assume a hotel is a single entity with a single bank account. Altadena’s rental market is different: parents renting out a guesthouse on the property, separate cottages booked individually, and the primary house still occupied by the owner. Our system let each rental have its own ledger, so revenue tracking matched the property’s actual financial structure instead of forcing them into a rigid template.

The last piece was the housekeeping module. We wired the system to Slack so the cleaning crew got an automated ping the moment a guest checked out, with a QR code they could scan to confirm the room was ready. That alone saved two hours of back-and-forth texting every morning, which in Altadena’s tight labor market translated to less turnover and happier staff.
